President:
- Confers with Officers and Directors to coordinate all business, current activities and long-range goal planning.
- Oversees operation of other board positions.
- Presides at all Executive Board and Convention meetings.
- Coordinates agenda with Directors and posts for general membership.
- Maintains communication between North and South Boards via monthly reports.
- The President or a representative should attend all area board meetings.
- Arranges for facilities for Joint Board meeting.
- Serves as ex-officio member of all standing committees, with the exception of the Nominations Committee.
- Appoints a Nominating Committee, as outlined in the Standing Rules, prior to Joint Board.
- Appoints a parliamentarian prior to General Membership meetings.
- Serves as liaison with other groups concerned with the welfare and education of young children.
- Oversees the activities of PCPI Representative who serves as District VP/Representative for Parent Cooperative Preschools International.
- Serves as the PCPI Representative when there is no delegate from CCPPNS.
- Coordinates schedule for convention with Convention Chair.
- Prepares In-house award certificates and banquet program.
- Writes articles for both issues of the Preschooler.
- Be authorized as an alternative signer on CCPPNS bank account.
- Serves on Awards Committee and In-house Committee.
- Be responsible for the installation of officers at Convention.
Treasurer:
- Acts as legal custodian of all funds of CCPPNS.
- Collects all dues, pays all bills, maintains proper records and presents financial statements monthly.
- Serves as an advisor to Finance Committee regarding budget proposals.
- Makes recommendations regarding CCPPNS financial structure and policies.
- Serves on the Credentials Committee.
Vice President (north & south):
- Plans, organizes and presides at the monthly area board meetings.
- Presides in the absence of the president at Joint Board and Convention.
- Maintains regular contact with the president regarding area board issues.
- Is responsible for the orientation of the Regional Council Presidents (RCPs) at Joint Board.
- Organizes Teacher/Director Professional Day/Brunch.
- Acts as liaison between CCPPNS and the Independent Member schools (IMs).
Secretary (north & south):
- Takes minutes at all board meetings.
- Must make arrangements for someone else to take notes if unable to attend meetings.
- Types minutes and has copies made for each board member, regional council president, regional council delegate and advisors.
- The original is kept in the Secretary's file.
- All correspondence such as thank you notes, get well cards, etc. are handled by the Secretary.
- Copies of all correspondence are kept in the Secretary's file.
- Keeps track of the attendance record for board members in his/her area.
In-House (north & south):
- Coordinates all activities relating to evaluations, nominations, awards, manual revisions and special memberships.
- Presides over In-house Committee meetings at area board meetings, Joint Board and Convention.
- Reviews all material generated by CCPPNS for presentation to the membership or general public.
- After In-house approval, forwards material to Board of Directors for approval.
- Ensures consistency between by-laws and standing rules/policies.
- Provides guidance to the group to ensure actions taken meet the parameters set in the by-laws.
- Incorporates revisions/additions into by-laws and policies and publishes updated versions for each officer on an annual basis.
- Incorporates changes to job responsibilities and publishes updates, when necessary.
- Serves as Parliamentarian when no officially appointed parliamentarian is present.
- Serves on the following committees: Nominations; Awards; Credentials.
Outreach (north & south):
- Responsible for recruiting new members.
- Assists the vice-president in the organization of CCPPNS-sponsored Teacher/Director functions in the relevant area (north or south).
- Oversees and offer assistance to the Preschooler Editor, and the Convention chair.
- Presides over Outreach committee meetings at area board meetings, Joint Board and Convention.
Finance (north & south):
- Oversees all financial concerns.
- Makes recommendations regarding CCPPNS financial structure and policies.
- Serves as liaison between CCPPNS and insurance broker handling CCPPNS' policies.
- Makes recommendations to broker and/or schools for better insurance services.
- Responsible for inventory, storage, and sale of all materials available from CCPPNS and keeps records on all items.
- Processes loans and grants.
- Makes recommendations regarding CCPPNS loan and grant policies.
- Presides over Finance Committee meetings.
Resource (north & south):
- Resource is designed to be a centralized source of information for member schools to utilize in support of their endeavor to be viable parent participation schools.
- Identifies the needs and concerns of our member schools and families and develops material and provides resources to respond to those requirements.
- Coordinates activities relating to alternative programs, parent education, legislation, fund finding and historian.
